Responsibilities

The Management Assistant is responsible for providing comprehensive administrative support to the Managing Director. You have your own tasks and responsibilities and also help out with general office support activities where necessary, working closely together with the office support team. The Management Assistant reports to the Managing Director and is part of the Operations team.

In this position you will: 

  • Serve as point of contact between the Managing Director and internal/external stakeholders, ensuring clear and timely communication.
  • Prepare, review, and manage documents, reports, and presentations with a high degree of accuracy and confidentiality.
  • Provide comprehensive support to the Managing Director, including managing calendars and scheduling meetings.
  • Prepare (supervisory) Board meetings, including logistics and agenda.
  • Act as contact point for the travel and visa agency contracted by Solidaridad Europe.
  • Plan and coordinate travel itineraries, accommodations, and logistics for the Managing Director and visitors to ensure smooth and efficient trips.
  • Organize and coordinate meetings, conferences, and events, including preparing agendas, taking minutes, and following up on action items.
  • Provide administrative support to the organization and assist with ad hoc tasks and projects.

Profile

You are service oriented and representative, friendly and professional. You have strong organizational skills with the ability to multi-task and prioritise effectively. You have a proactive, problem-solving mindset with a high level of attention to detail. You have the ability to manage competing priorities, are stress-resistant and are energised by working in a dynamic and international environment.

The successful candidate has:

  • You have a higher professional education in Office Management or  a related field;
  • At least 4 years experience as a Management Assistant, or similar role, supporting senior executives;
  • Experience in an international environment;
  • Dutch (native language) and English fluency;
  • Good command of Microsoft Office and Google suite;
  • A strong commitment to and interest in Solidaridad’s mission and work;
  • Is allowed to work in the Netherlands.

The following would be considered as a strong asset:

  • Experience in working with a non profit organization.

Our offer

  • A unique and rewarding job within an inspiring and international setting, starting as soon as possible; 
  • You will join the Operations team in Utrecht, and will have the opportunity to work with an innovative and dedicated network of professionals across the world;
  • A one-year contract with the possibility of extension, 32-36 hours/week; 
  • Gross salary between EUR 3.016,50 and EUR 4.340,57, based on 36 hours/week (salary scale 7 or 8);
  • An additional holiday allowance (standard in the Netherlands) will be paid to the employee in May of every calendar year. The holiday allowance is 8% of the gross salary earned in the period from 1 June up to and including 31 May, prior to the date of the payment;
  • In addition, Solidaridad pays an end-of-year allowance equivalent to 8.3% of the gross annual salary earned;
  • Solidaridad offers a non-contributory pension plan;
  • Location: Utrecht, the Netherlands.
